Catch-up bookkeeping services
Catch-Up Bookkeeping Services for Small Businesses
Behind on your books? The longer you leave them, the harder it becomes to know where your business really stands.
A few unfinished months can quickly turn into a year of uncategorized transactions, unreconciled accounts and financial reports you no longer trust.
HFS Group provides catch-up bookkeeping services for small businesses that have fallen behind and need their financial records brought back up to date.
We review what has and has not been completed, work through the outstanding bookkeeping, reconcile the accounts and identify problems that need attention along the way.
The goal is simple: get your books current again, understand what the numbers are telling you, and put a reliable process in place going forward.

Falling behind does not always happen because someone ignored the books.
Sometimes the business simply became busier.
The owner started doing more work, employees were hired, more transactions began flowing through the bank, a bookkeeper left, QuickBooks stopped being maintained properly, or bookkeeping kept getting pushed behind more urgent priorities.
Eventually, you open QuickBooks and realize you are no longer sure whether the numbers can be trusted.
You might be dealing with:
- several months of transactions waiting to be categorized
- bank or credit-card accounts that have not been reconciled
- duplicate or missing transactions
- customer payments that do not appear correctly
- unexplained balances
- payroll entries that do not match the payroll reports
- Accounts Receivable or Accounts Payable that looks wrong
- transactions sitting in the bank feed for months
- financial reports you are uncomfortable relying on
- no clear idea of how profitable the business has actually been
That is when catch-up bookkeeping becomes necessary.
What is catch-up bookkeeping?
Catch-up bookkeeping is the process of completing bookkeeping work that should already have been completed for previous months or accounting periods.
For example, if it is October but the bookkeeping has only been completed through May, the missing months need to be caught up before the business has reliable current financial information.
Catch-up bookkeeping may involve transaction review, categorization, bank and credit-card reconciliation, customer and vendor balances, payroll entries, balance-sheet accounts and financial reports.
The exact work depends on the condition of the existing books.
Some businesses are simply behind.
Others are behind and have existing errors that need to be corrected.
That distinction matters.
Catch-up bookkeeping vs bookkeeping cleanup
Catch-up bookkeeping and bookkeeping cleanup are related, but they are not exactly the same thing.
| Aspect | Catch-up bookkeeping | Bookkeeping cleanup |
|---|---|---|
| Work status | Work has not been completed | Work has been completed incorrectly |
| Months | Months may be missing | Transactions may be duplicated or miscategorized |
| Reconciliations | Accounts may not have been reconciled | Reconciliations or balances may be incorrect |
| Transactions | Transactions still need to be recorded or reviewed | Existing entries need investigation or correction |
| Goal | Goal is to bring the books current | Goal is to improve the reliability of existing books |
Many businesses need a combination of both.
For example, your books may be five months behind while also containing problems from earlier periods.
That is why HFS Group normally begins by reviewing the existing bookkeeping before determining the full scope of the catch-up.
If you are unsure which situation applies to your business, read our guide to Catch-Up Bookkeeping vs Bookkeeping Cleanup.
What HFS Group reviews during a bookkeeping catch-up
Simply categorizing everything sitting in the QuickBooks bank feed is not enough. The underlying books need to make sense.
Depending on the business and the condition of the records, the catch-up process may include:
| Area | What we look at |
|---|---|
| Bank accounts | Missing activity, reconciliations and unexplained differences |
| Credit cards | Outstanding transactions and reconciliation status |
| Transaction categorization | Income and expenses recorded consistently |
| Bank feeds | Duplicate, missing or incorrectly matched transactions |
| Accounts Receivable | Open invoices, payments and unusual customer balances |
| Accounts Payable | Outstanding bills and vendor balances where applicable |
| Payroll records | Entries recorded from information supplied by your payroll provider |
| Owner transactions | Personal and business activity that may need clarification |
| Balance Sheet | Unusual, negative or unexplained account balances |
| Financial reports | Whether the P&L and Balance Sheet appear consistent with the underlying records |
| QuickBooks setup | Accounts or processes that may be making the bookkeeping harder to maintain |
Not every business will require work in every area. The point of the initial review is to determine what actually needs fixing instead of assuming every catch-up looks the same.
QuickBooks catch-up bookkeeping
HFS Group primarily works with businesses using QuickBooks Online.
A QuickBooks file can look busy and still be months behind.
Hundreds of transactions may have been downloaded automatically from the bank without the accounts ever being properly reconciled.
Transactions may also have been accepted into the wrong categories, duplicated, matched incorrectly or posted against old balances that were never resolved.
As part of a QuickBooks catch-up, we can review the bookkeeping structure as well as the outstanding work.
HFS Group is led by a Certified QuickBooks Online ProAdvisor, so the objective is not simply to clear the bank feed. It is to leave the file in a condition that is easier to understand and maintain.
Our catch-up bookkeeping process
Understand what happened
We start with a conversation about the business, how far behind the bookkeeping is and what has been happening with the records. You may already know exactly when the bookkeeping stopped. You may simply know that QuickBooks does not look right. Either is fine.
Review the existing books
Before quoting substantial catch-up work, we need to understand the condition of the file. We review the relevant accounts, reconciliation history, transaction activity, financial reports and unusual balances. This helps separate missing work from existing errors.
Agree the scope
Once we understand what needs to be done, we explain the work involved and agree the scope before proceeding. A business that is three months behind with clean records is very different from a business that is twelve months behind with unreconciled accounts and historical errors.
Bring the bookkeeping up to date
We work through the agreed catch-up period, reviewing transactions, completing reconciliations and addressing bookkeeping issues within the agreed scope. If we find something that requires information or clarification from you, we ask rather than guessing.
Review the finished books
Once the catch-up is complete, we review the resulting financial information and explain anything important we identified. If you want ongoing support, the books can then transition into a regular monthly bookkeeping process so they do not fall behind again.
How far behind can your books be?
There is no single cutoff.
HFS Group can review businesses that are a few months behind as well as businesses with more substantial bookkeeping backlogs.
The amount of work depends on factors such as transaction volume, number of bank and credit-card accounts, reconciliation history, payroll activity, Accounts Receivable, Accounts Payable and the condition of the existing QuickBooks file.
Being further behind does not automatically mean the books cannot be recovered. It normally means the review is more important before estimating the work involved.
What if someone has already been doing the bookkeeping?
Being behind is not the only reason a catch-up may be needed.
Sometimes transactions have been entered, but the business owner still does not trust the reports.
That may happen when:
- accounts have not been reconciled
- balances do not make sense
- old transactions remain outstanding
- duplicates exist
- previous bookkeeping has been completed inconsistently
In those situations, the work may involve both catch-up and cleanup.
We do not assume previous bookkeeping is wrong, and we do not change historical records simply for the sake of changing them. We review what is there, identify material issues and determine what needs attention.
If you recognize these signs, read our guide to signs your small business needs bookkeeping cleanup.
What you should have when the catch-up is complete
The goal is not simply to make the red notification numbers disappear from QuickBooks.
A successful catch-up should leave you with financial records that are considerably easier to understand and rely on.
Depending on the agreed scope, that may mean current transaction records, reconciled bank and credit-card accounts, clearer balances, updated customer or vendor records and financial reports that reflect the completed bookkeeping period.
From there, you can make more informed business decisions and provide organized financial information to your CPA or tax professional when required.
HFS Group does not prepare income tax returns, but we can maintain and organize the bookkeeping that supports your wider financial and tax process.

Why getting caught up matters
When your books are months behind, the problem goes beyond bookkeeping administration.
You may be making decisions using incomplete information.
You may not know whether expenses have increased, whether customers owe money, whether cash-flow pressure is temporary, or whether the business is actually as profitable as you think.
Your bank balance can tell you how much cash is available today. It cannot tell you the complete story of the business.
Current bookkeeping gives you a better foundation for reviewing profitability, cash flow and business performance.
If you want to understand what financial information to look at once your books are current, read our guide to the Financial Reports Small Business Owners Should Review Each Month.

Frequently asked questions about catch-up bookkeeping
How do I know if I need catch-up bookkeeping?
You may need catch-up bookkeeping if transactions have not been reviewed, accounts have not been reconciled, or bookkeeping has not been completed for previous months. If work has already been completed but contains significant errors, bookkeeping cleanup may also be required.
How long does catch-up bookkeeping take?
It depends on how far behind the books are and how complex the business is. Transaction volume, number of accounts, reconciliation history, payroll, Accounts Receivable, Accounts Payable and existing errors can all affect the amount of work required. HFS Group reviews the existing bookkeeping before estimating substantial catch-up work.
Can you catch up a full year of bookkeeping?
Potentially, yes. Businesses can fall behind by several months or longer. The first step is reviewing the records to determine what information is available, what has already been completed and what needs to be addressed.
Do you just categorize the transactions in QuickBooks?
No. Categorization may be part of the work, but reliable catch-up bookkeeping should also consider reconciliation status, duplicate or missing transactions, unusual balances and the overall condition of the financial records.
Can you take over from another bookkeeper?
Yes. HFS Group can review an existing QuickBooks file and determine what work remains outstanding. The purpose of the review is not to criticize a previous bookkeeper. It is to understand the current condition of the books and identify what needs to happen next.
Can you help if I do not know when the books stopped being accurate?
Yes. That is one of the reasons an initial review can be useful. Reconciliation history, transaction activity and financial reports can help identify where the bookkeeping requires further investigation.
Does HFS Group provide payroll services?
HFS Group does not process payroll. Where appropriate, payroll information provided through your payroll provider can be recorded and reconciled as part of the bookkeeping.
Will you prepare my tax return after catching up the books?
No. HFS Group does not prepare income tax returns. We can maintain and organize the bookkeeping so you have clearer financial records to provide to your CPA or tax professional.
What happens after the catch-up is finished?
Some businesses only require a one-time catch-up. Others choose to move into ongoing monthly bookkeeping so their financial records remain current. HFS Group can discuss the appropriate next step once the catch-up work has been completed.
Stop wondering what is hiding in months of unfinished bookkeeping
